Privacy policy.
This Privacy Policy explains how Stay Sharp LLC (“Clearline Solutions,” “we,” “us”) collects, uses and shares information when you visit clearlinesolutions.io (the “Site”), call or text us, or request an estimate. By using the Site you agree to this policy.
1. Information we collect
Information you give us. When you request an estimate or contact us, we collect what you provide: your name, phone number, email address, ZIP code, property type, the service you are interested in and any message you write.
Calls and our AI phone assistant. Calls to and from Clearline Solutions may be answered or made by an AI virtual assistant, which tells you it is an AI at the start of the call. Calls are recorded and transcribed, and we keep a short summary, so we can schedule your estimate, follow up and improve service. We record your phone number, the date, time and length of the call, what you tell us about your project, and, where we use call tracking, the ad or page that led to the call. If you do not want a call recorded, say so and ask for a person, or contact us by email instead.
Follow-up calls after you request an estimate. When you submit the quote form, you consent to receive calls and texts about your request at the number you provide, including calls made with an automated system or an artificial or AI-generated voice. We store the consent wording you saw, the time you submitted it, and a one-way scrambled (hashed) form of your IP address as a record of that consent. We call only during reasonable hours in your time zone and make no more than two attempts unless you ask us to call back. Say “stop calling” on any call, or email us, and we will not call you again.
Information collected automatically. When you use the Site, we and our providers collect device and usage data through cookies, pixels and similar tools. This includes your IP address, browser type, device type, pages viewed, time on page, the website or ad that sent you, and advertising click identifiers (such as Google’s “gclid” and Meta’s “fbclid”).
Our own visit records. The Site sets a first-party cookie with a random visitor ID (“wf_vid”, kept for one year) and, when you arrive from an ad or campaign link, a cookie with that campaign information (“wf_attr”, kept for 90 days). We store the pages you view, the referring website, the campaign information and a general browser and device type in our own database. If you submit the quote form, we link these visits to your request so we know which pages and ads bring in customers. We do not use this information to identify you before you contact us, and we do not sell it.
Information from others. Advertising and analytics partners, such as Google and Meta, may give us reports about how people found and used the Site. These reports are mostly aggregated.
2. How we use information
- To respond to your request, schedule estimates, perform the work and provide warranty service.
- To contact you by phone, email or text about your request and our services.
- To measure which ads and pages produce enquiries, and to improve our Site and advertising.
- To keep business records, prevent fraud and spam, and comply with the law.
3. Text messages (SMS)
If you give us your mobile number, we may send text messages about your estimate request, appointments, job status and service follow-up. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Consent to receive texts is not a condition of any purchase. Carriers are not liable for delayed or undelivered messages.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging opt-in data and consent are never shared with or sold to any third party, except service providers that send messages on our behalf.
4. Cookies, analytics and advertising
We use Google Analytics, Google Tag Manager and Google Ads, and may use similar tools. These tools use cookies to understand Site traffic and to measure and show ads, including on other websites (remarketing). Google’s use of data is described at policies.google.com/technologies/partner-sites.
We also use the Meta Pixel (Facebook and Instagram). It uses cookies to measure our ads on Meta and to show ads to people who have visited the Site. When you request an estimate, we may send Meta a one-way scrambled (hashed) form of your phone number and email, and later whether you booked an estimate or hired us, so Meta can tell which ads brought in customers. Meta’s use of data is described at facebook.com/privacy/policy.
Your choices: you can block or delete cookies in your browser settings; opt out of personalized Google ads at adssettings.google.com; manage the ads Meta shows you at facebook.com/adpreferences; install the Google Analytics opt-out add-on at tools.google.com/dlpage/gaoptout; or opt out of interest-based ads from participating companies at optout.aboutads.info. The Site does not respond to “Do Not Track” browser signals, because no common standard exists. Where state law requires it, we treat Global Privacy Control signals as an opt-out request.
5. How we share information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising in exchange for money. We share information only:
- With service providers that help us run the business, such as our website host and database (Vercel, Neon), AI phone and call-recording provider (Vapi and the speech and language-model providers it uses), scheduling (Cal.com), email (Resend), spam protection (Cloudflare Turnstile), call-tracking, texting and analytics providers. They may use it only to provide services to us.
- With advertising platforms (Google and Meta) to measure our ads, as described in section 4.
- With a film manufacturer when we register your product warranty, if you buy an installation.
- When required by law, to protect our rights or safety, or in connection with the sale or transfer of our business.
- With your consent.
6. How long we keep information
We keep estimate requests and customer records for as long as needed to provide service and honor warranties, and as required for tax and business records. Usually this is up to seven years after your last job with us. Call recordings are kept for up to 12 months and visit records for up to 26 months. We delete or anonymize information when it is no longer needed.
7. Security
We use reasonable administrative, technical and physical safeguards. The Site uses encrypted (HTTPS) connections. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please do not send payment card numbers or other sensitive information through the Site form.
8. Children
The Site is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has given us information, contact us and we will delete it.
9. Your rights
You may ask us to tell you what personal information we have about you, correct it, or delete it, and you may opt out of marketing at any time. Residents of some states have additional rights under state privacy laws. We will honor those rights where they apply to us. To make a request, email staysharpmd@gmail.com or call (470) 589-5370. We will verify your request before we act on it and will not discriminate against you for making it.
10. Links to other sites
The Site may link to other websites, such as film manufacturers or map services. We are not responsible for their privacy practices.
11. Changes to this policy
We may update this policy. We will post the new version on this page with a new effective date. Material changes take effect when posted.
